Add guests to your event
Add guests one by one, paste a list of numbers, or upload a CSV file, then organise them with card types, seating and your own guest fields.
Your guest list lives in the Guests tab of each event. Every guest needs a name and a phone number to receive a card. You can type guests in, paste a whole list at once, or bring in a spreadsheet.
Add one guest at a time
- Open your event from Events and stay on the Guests tab.
- Tap + Add guest at the bottom of the table (or Add first guest on an empty list).
- Type the guest's Name and Phone in the new row. Changes save as you go.
Phone numbers can be typed as a local number starting with 0 (for example 0712 345 678) or in international format starting with + and the country code. Shereko converts them to the full international format when you leave the field.
Import a list of guests
When you already have names in a phone note, a WhatsApp chat or a spreadsheet:
- Tap Import guests above the table.
- Paste your list into the box: one guest per line, with the name and phone in any order, for example
Asha Juma, 0712 345 678. Lines with only a number work too. - Tap Import. Shereko adds the guests and tells you how many were added.
To bring in a file, tap Upload CSV in the same panel and choose a .csv, .tsv or .txt file. From Excel or Google Sheets, save or download the sheet as CSV first. A column whose title matches one of your guest fields (for example "Card number") is imported too.
Organise your guests
- Card type: the built-in types are Single and Double. Select guests (or none, for everyone) and tap Card type to assign a type, or enter a Custom type such as "VIP Table". Card designs can print each guest's ticket type.
- Seating: tap Seating to set up zones and tables, then assign each guest a table.
- Fields: tap Fields to add your own guest details, such as a card number or a group. Each field becomes a column, a token you can use in the SMS, and is shown to door staff at check-in. Use Quick add for common fields.
- Search guests... finds anyone by name or number, and the quick filters narrow the list by status.
Edit or remove guests
Tap any cell to edit it. To remove one guest, use Remove at the end of their row. To remove several, tick their rows and tap the delete button, then confirm. Deleting guests can't be undone.
Read the status columns
After you send invitations, each row shows:
- RSVP: Coming, Can't come or No reply.
- Delivery: for example Sent, Delivered, Read, Failed or Needs top-up.
- Checked in: whether the guest has arrived on the event day.
Failed rows show Retry options. See Delivery failures.
FAQ
Can I add guests from WhatsApp instead?
Yes. The Shereko WhatsApp bot lets you share contact cards or a group link so guests add themselves. They land in the same guest list.
Can I upload an Excel file directly?
Save it as CSV first (in Excel: File → Save As → CSV), then use Upload CSV. You can also copy the cells from Excel and paste them into the import box.
Why didn't some numbers import?
Lines without a recognisable phone number or name are ignored, and numbers already on the list are skipped as duplicates. Check the message shown after the import.
Does adding guests cost anything?
No. Adding and managing guests is free. You only pay when you send messages. See pricing.
