Check guests in at the door
Turn on check-in, share the Door PIN with your ushers, and admit guests by scanning the QR on their card or searching by name.
Check-in turns any phone into a door scanner. Your ushers scan the QR code on each guest's card, see the guest's name and card type, and the arrival count updates live. No paper lists, no guests slipping in twice.
Before the day: put the QR on the card
Each guest's personalised card carries their own check-in QR code. In the card editor, the Check-in code layer is the QR. Select it to move it and change the QR size in the toolbar. Keep it clear of text and photos so it scans easily. See Design your card.
Turn on check-in
Check-in is a paid add-on with a one-time fee per event. The current price is on the pricing section.
- Open the event, go to Event day › Check-in (on a phone, tap Check-in next to the event sections menu).
- The page says Check-in not enabled. Tap Enable check-in.
- The Enable check-in scanner window shows the one-time fee. Pay with Use wallet balance, or choose or pay now by mobile money or card. Check-in turns on automatically once payment arrives.
- Shereko creates a four-digit Door PIN for your door staff, and the door screen opens straight away for you.
Find your Door PIN
Open the event's check-in page (Event day › Check-in) while signed in. The Door PIN bar under the counters shows the PIN as ••••. Only you see this bar; door staff never do.
- Tap the eye (Show PIN) to see the four digits, and tap it again to hide them.
- Tap the copy button (Copy PIN) to copy just the PIN.
Set up your door staff
Door staff do not need a Shereko account. They need the check-in page's link and the Door PIN.
- In the Door PIN bar, tap Share with door staff. WhatsApp opens with a message that has the link and the PIN. Choose your ushers or their group and send it. To paste the message somewhere else, use the link button (Copy link and PIN).
- Each usher opens the link on their phone. The PIN screen appears (Enter door PIN). They type the four digits and the guest list opens.
- On a phone signed in to your own Shereko account, the page opens without a PIN.
Change the PIN
If the PIN reaches someone who should not have it, tap Change PIN, then Create new PIN. Door phones still using the old PIN are locked out on their next scan, so send the new PIN to your door staff again.
Admit guests
The door screen shows three counters: arrived (guests with at least one entry), invited, and in venue (people inside, counting both people on a double ticket). The list refreshes every 15 seconds, so several doors stay in sync.
Scan a QR
- Choose Scan QR and allow camera access.
- Hold the QR on the guest's card inside the frame.
- Read the result before letting the guest in:
- Green Welcome, [name]! The guest is admitted. A double ticket shows (2 guests).
- Orange: [name] already checked in. The card was already used.
- Red Invalid ticket. The code is not for this event.
Search by name
If the guest has no phone with them or the camera will not work, choose Search name and type their name (or another field such as their card number). Check the full name, then tap Let in on their row.
Double tickets
A double ticket allows two entries. When only one person has arrived, the row shows 1/2 entered. Tap Allow in only when the second person arrives.
Lock the screen
Tap Lock when you hand the phone to someone else or step away. The Door PIN is needed to open it again. The page also locks itself after 60 minutes without check-in activity.
After the event
The Checked in filter in the guest table lists everyone who arrived, and the event report shows check-in totals next to RSVPs. See Reports and exports.
FAQ
Do I pay again for each usher or each phone?
No. The fee is once per event. Use as many phones as you need with the same PIN.
The camera does not open. What can I do?
If you see "Camera access denied", allow the camera in your browser settings and tap Retry. Meanwhile, use Search name to admit guests.
A guest shows a card for a different event.
The scan says Invalid ticket. Check that they have the right card, or search their name on the guest list.
Can I undo a check-in by mistake?
Not from the door screen, so read each result before admitting. For a double ticket, never tap a row that already shows Entered.
Does check-in need the internet?
Yes. Each scan is confirmed online so that all doors see the same list. Have mobile data or Wi-Fi on the door phones.
